I generate reports every week. SEO performance, social media metrics, project status updates, financial summaries. Each one used to require manually pulling data from multiple sources, formatting it, writing analysis, and sending it to the right people. Now my AI agent handles the entire pipeline autonomously. The result is reports that are both consistent (they go out every Monday at 9 AM without fail) and intelligent (they surface the information that actually matters).

The Reporting Pipeline

Every automated report follows the same four-stage pipeline:

Stage 1: Data Gathering

The first stage collects raw data from all relevant sources. The key principle here is separation of concerns. Each data source has its own collector that knows how to authenticate, query, and normalize the data.

Common data sources I pull from:

  • Analytics platforms: PostHog, Google Analytics, Mixpanel for web traffic and user behavior
  • SEO tools: DataforSEO, Google Search Console for search performance
  • Social media: Platform APIs or tools like Post Bridge for engagement metrics
  • Project management: Linear, Jira, Asana for task and sprint status

Each collector returns data in a standardized format. This normalization step is important because it means the analysis stage does not need to know whether the data came from PostHog or Google Analytics. It just works with numbers and labels.

Error handling matters here. If one data source is unavailable, the report should still generate with the data it has. I flag missing data sections clearly: "Social media data unavailable this week due to API maintenance." Never let one failed API call block the entire report.

Anomaly detection: Did anything unusual happen? A sudden spike or drop deserves investigation. The AI cross-references anomalies with known events (product launches, marketing campaigns, algorithm updates) to suggest explanations.

Comparative analysis: How does this period compare to the same period last month or last year? Seasonal patterns are easy for humans to forget but important for context.

The prompt structure for analysis is critical. Here is what works:

Analyze the data and provide:
1. Executive summary (3 sentences max)

Be direct. Use numbers. Avoid vague statements like "performance was good."
Instead say "organic traffic increased 12% to 4,230 sessions."

The audience specification is important. A report for the CEO focuses on revenue and growth. A report for the engineering team focuses on performance metrics and bug counts. The same data, different emphasis.

Stage 3: Report Formatting

The analysis output needs to be formatted into a readable document. I support multiple output formats depending on the delivery channel:

Markdown for Telegram and Slack delivery. Clean, scannable, works with their native formatting.

HTML for email delivery. Allows richer formatting, charts, and branded headers.

PDF for formal reports that get shared externally or archived.

The formatting stage applies a template that includes:

  • Report title and date range
  • Executive summary at the top (always)
  • Sections organized by topic
  • Data tables for detailed metrics
  • Highlighted callouts for key numbers

The best reporting systems improve with feedback. Here is how I build the learning loop:

Track report opens and engagement. If a report is consistently ignored, it either needs to be more relevant or should be discontinued. If specific sections get the most attention (measured by scroll depth in email or reactions in Slack), emphasize those sections.

Collect explicit feedback. At the bottom of each report, I include a simple rating mechanism. In Telegram, it is inline buttons: "Useful / Not useful / Too long / Missing something." In email, it is reply-with-feedback links.

Compare predictions to outcomes. If the report recommended "update the features page to counter competitor content" and the team did it, track whether rankings improved. This creates an accountability loop for recommendations.

Practical Tips From Production

After running automated reports for months, here are the lessons that saved me trouble:

Always include raw numbers alongside percentages. "Traffic increased 50%" sounds impressive until you realize it went from 2 to 3 sessions. Include both: "Traffic increased 50% (from 200 to 300 sessions)."

Date ranges should be explicit. Never say "last week." Say "Feb 7 to Feb 14, 2026." This eliminates ambiguity when reports are referenced later.

Version your report templates. When you change the format, note it in the report. "Note: This report now includes Core Web Vitals tracking." Stakeholders get confused when formats change silently.

Keep an archive. Store every generated report. They become invaluable for quarterly reviews and year-over-year comparisons.

Test with real data before going live. Generate reports for 2 weeks without delivering them. Compare the AI's analysis against what you would have written. Adjust the prompts until the output matches your quality bar.
